Sage Timeslips Billing Error: Causes, Troubleshooting, and Fixes

Sage Timeslips is widely used by law firms, consultants, professional-service businesses, and other organizations to track time, expenses, and client billing. When a Sage Timeslips billing error occurs, it can prevent invoices from being generated, produce incorrect balances, or cause the program to stop during billing calculations.

Common Sage Timeslips Billing Errors

Billing errors can appear in several forms, including:

  • Timeslips stops while calculating or generating bills.
  • A particular client cannot be billed.
  • Billing Assistant shows a balance that does not match Accounts Receivable.
  • Payments or credits appear as unapplied.
  • An invoice contains incorrect amounts or missing time entries.
  • Timeslips displays a data-corruption or damaged-record message.
  • PDF bills fail to generate even though individual bills may work.
  • A batch billing operation fails when several clients are selected.

Sage’s Knowledge Base specifically documents cases where Timeslips encounters streamed-data corruption during billing or reporting. In such situations, identifying the individual slip that triggers the error can help isolate the damaged record.

1. Identify Whether the Error Affects One Client or Multiple Clients

The first troubleshooting step is to determine whether the problem is isolated or widespread.

Try generating a bill for the affected client separately. If the individual bill works, but a batch billing run fails, the problem may be associated with another client or record included in the batch. Sage’s community documentation includes examples where batch PDF billing failed while individual billing worked, with Data Verification recommended as an important diagnostic step.

This simple test can significantly narrow down the source of the problem.

2. Check for Unapplied Payments and Credits

Incorrect Accounts Receivable balances are another common source of billing confusion.

For example, Timeslips may show an incorrect Billing Assistant balance when payments remain in suspense rather than being properly applied to invoices. Sage recommends using the Billing Troubleshooter to identify A/R transactions with suspense.

In supported Timeslips versions:

  1. Select Bills > Troubleshooter.
  2. Choose A/R Transactions with suspense.
  3. Review the affected clients.
  4. Open the transactions listed by the troubleshooter.
  5. Apply the payments or credits to the appropriate invoices.

Payments and credits can also be reviewed manually through Transactions > Accounts Receivable. 

3. Run Data Verification

If the billing error continues, Data Verification is an important diagnostic and repair tool.

Before performing database repairs, create a reliable backup and make sure other users have exited Timeslips. Sage recommends using Data Verification to check and, when appropriate, automatically repair Accounts Receivable balance errors. 

A typical process is:

  1. Back up the Timeslips database.
  2. Have all users exit Timeslips.
  3. Select File > Data Verification.
  4. Select Accounts Receivable Balances.
  5. Select the affected client rather than unnecessarily repairing every client.
  6. Run the verification.
  7. Review the errors reported.
  8. If appropriate, select Automatically repair any errors found.
  9. Run the repair and review the results.

Database repair should be performed carefully because billing and A/R data are financially significant.

4. Investigate a Corrupt Time or Expense Slip

If Timeslips reports that data is damaged or corrupted during billing, the problem may be associated with a particular slip.

Sage recommends using the same filters that were used during the failed billing or reporting operation and then moving through the slips individually until the error occurs. The Slip ID associated with the failure can then be recorded for further troubleshooting or support. 

This approach is particularly useful when a large database works normally except when a particular client or date range is included.

5. Correct an Incorrect Approved Bill

Sometimes the problem isn’t a software error—the invoice itself was generated incorrectly.

Timeslips provides an Undo Approved Bills function that allows an approved bill to be returned to a revision stage so corrections can be made and a new bill generated. Sage’s documentation explains that choosing Revision can preserve the slips, transactions, and invoice number for the revised billing process. 

If an approved bill cannot be undone because relevant data has already been purged, a credit transaction may be required instead. 

6. When PDF Billing Fails

A particularly frustrating Timeslips problem occurs when bills calculate successfully but Timeslips fails while creating PDF invoices.

If individual clients can generate PDFs but a batch cannot, test the clients separately to identify whether a particular client, bill layout, or record is triggering the problem. Sage’s community discussions also document situations where Data Verification uncovered database errors associated with clients and record counters. 

Testing a different billing output method can also help distinguish a database problem from a PDF/output problem.

Preventing Future Timeslips Billing Errors

Regular maintenance can reduce the likelihood of recurring billing problems:

  • Back up the database regularly, especially before major billing runs.
  • Run Data Verification when unusual billing behavior appears.
  • Review unapplied payments and credits regularly.
  • Avoid making direct changes to Timeslips database files.
  • Keep Timeslips and its applicable updates current.
  • Test a small group of bills before running a large monthly billing batch.
  • Keep track of Slip IDs, client names, error messages, and the exact stage at which the error occurs.

A Sage Timeslips billing error does not necessarily mean that the entire database is damaged. In many cases, the problem can be narrowed down to an individual client, unapplied transaction, corrupted slip, A/R inconsistency, or billing configuration.

Back up → isolate the affected client/record → check unapplied A/R transactions → run Data Verification → repair only when appropriate → test billing again.
